To change the sort order of accounts there is no direct way in the Chart of Accounts, however, depending on your company settings you can change the order and how the Chart of Accounts was created.
Three options that lets you to rearrange the accounts are given below:
- Rename accounts to include ID numbers
- Organize accounts into sub-accounts of different accounts
- Use account numbers
OPTION 1: Rename accounts to include ID numbers
At the beginning of the account name field if you are renaming accounts to add numbers. The accounts get sorted automatically in order of their numeric value by those values with each account type.
OPTION 2: Organize accounts into sub-accounts of different accounts
That account will be sorted under its parent account which you convert into an account a sub-account of another parent account. To do that you need to follow these steps:
- Click on the Gear icon present on the Toolbar.
- Choose Chart of Accounts under your company.
- After you search for the account, select the drop-down and click on Edit in the Action column.
- In the Is sub-account box, put a check mark.
- Select the parent account from the Enter parent account drop-down (Please Note: This account should be similar to the account type as the sub-account.)
- Click on Save and close.
OPTION 3: Use account numbers
If you enable account numbers in Account and Settings, QuickBooks will sort accounts by their account number within each account type.
Please Note: Making this change will also affect the sort order of your reports, such as the Profit & Loss and Balance Sheet.
To make this change:
- Click on the Gear icon present on the Toolbar.
- Choose Account and Settings also known as Company Settings, under your company.
- Select Advanced from the left menu and then in the Chart of accounts section click on the pencil icon.
- Click on Enable account numbers and then check the Show account numbers box.
- Click on Save and then select Done.

How to print outside of QuickBooks in Notepad?
- Select Start and browse to Notepad.
- Enter text and then click on File.
- Select Print.
- Choose the correct printer and then click on Print.
If the printer is unable to print outside of QuickBooks:
- Turn off your printer and then restart your computer.
- Now, turn your printer back on.
- Make sure that you have loaded the paper in the printer correctly.
- Choose Windows Start button and then go to the Control Panel
- Now, double-click on Printers and Faxes.
- Right-click the printer if the printer shows Offline
- Select Use Printer Online.
- If there are print jobs displayed in the queue double-click on the printer double click the printer.
- Choose Printer and then select Cancel All Documents.
- Close the window.
- Right-click the printer and select Properties.
- Click on Print Test Page.
If the printer does prints outside of QuickBooks:
- Run QuickBooks Print and the PDF Repair Tool.
- Quick tip: To find these files in Windows you will need to Display hidden files and folders or search for files with the help of Windows
- Right-click on the QBprint.qbp file for your version of QuickBooks and then select Rename.
- To the file name, add the word old.
- Open your QuickBooks Desktop.
- Select Printer Setup from the file menu.
- In the Form Name list choose any transaction and then click on OK. By doing this you will create a new QBprint.qbp file.
- Please Note: You don’t have to do this for each and every transaction.
- Now, try to open and print any transaction you wish.
If the issue persists:
- Check whether the printer you are using is the correct one.
- Choose File in Quickbooks
- Select Printer Setup.
- Click on the form that you are trying to print.
- Is the printer name matching to the exact name of the printer that you want to use? You’ll need to correct the setup within your computer’s Printer Setup first if you are not.

- In the Printer Setup, try using a different printer.
- Try printing a different form. In case of customized forms or memorized reports, try printing a standard form or report.
- Attempt to print a single form if you were printing a batch of forms in QuickBooks. Try printing smaller batches if you are successful.
