Reduce the company file size

Reducing the size of the company file can easily upgrade the performance of the software. Make sure you proceed only if you are expert working with QuickBooks or if you have strong knowledge of configuration and settings. You can also contact QuickBooks Support expert team by simply dialing.

The procedure is quite complex and required a lot of time and work. If you are okay working with it, proceed with the following:

  • The user needs to run the Condense Data Utility.
  • Shorten the Company File: QuickBooks does not provide any inbuilt service of truncating the company file. You can manually remove the transactions up to a selected date and set up opening balances up to selected date.

You can do either of the following to truncate your company file:

  • Send your company file to a third party Vendor.
  • Obtain data transfer and opening balances application from third party.

We recommend you to consult our support team before truncating your file.

  • The user needs to Start a new Company File

For US users, a new company file will not affect Desktop Payroll DIY with DD. Contact QuickBooks Support before starting a new file.

While starting a new company file, you can opt for any of the following:

  1. The condense company data option can be used to delete all transactions. After this, you will be left only with your lists (only US applicable).
  2. You can create a fresh file .despite being simple; this step will require a lot of time and work.
  3. Select File > New Company, in the old file. Follow the appearing wizards.
  4. Export your lists from the old file. Clean the file by deleting the unnecessary list entries.
  5. Import the cleaned files into the new file.
  6. At the end, Set up the opening balances.

Company and Personal Preferences needs to be Set

Follow the given steps to Set Company Preferences

  1. Log in as Administrator to your company file.
  2. Check for the user mode, you must be in the single user mode.
  3. Select Edit, and then choose Preferences.
  4. Select Bills from the left menu.
  5. Now Select the Company Preferences Tab.
    1. Uncheck the box asking to Warn about duplicate bill numbers from the same vendor.
    2. Click yes to save the changes.
  6. Choose Items & Inventory, from the left menu
    1. Uncheck the box Warning about duplicate purchase order numbers.
    2. Click yes to save the changes.
  1. Choose Sales & Customers from the left menu.
  • Clear the checkbox Warning about duplicate invoice numbers.
  • Clear the checkbox Warning about duplicate Sales Order numbers.
  • Click Yes to save the changes.
  • Choose Search from the left menu.
    1. Clear the checkbox for automatic update.
    2. Click Yes to save the changes.
  • Click Ok to save all the changes made in Company preferences.

Follow the given steps to set Personal Preferences

  1. From the Edit Menu, choose Preferences.
  2. Select My Preferences.
  3. Choose Desktop View located in the left menu.
    1. Click on don’t save.
    2. Uncheck the show Home page checkbox.
    3. Deselect/uncheck Show Getting Started.
    4. Click Yes to save the changes made.
  4. Now choose General located in the left menu.
    1. Select the Keep QuickBooks running for quick startups checkbox.
    2. Click yes to save the changes.
      Note: This option is a trade off:

      • QuickBooks may start faster, but run slower, if it is checked.
      • QuickBooks may start slower, but run faster, if it is unchecked
    3. Choose Reminders located in the left menu.
      1. Clear the Show Reminders List when opening a Company File checkbox.
      2. Click yes in to save the changes made.
    4. Choose Reports & Graphs located in the left menu.
      1. In the Reports and Graphs section choose Don’t Refresh.
        Note: Reports will refresh only when you choose to do so. This preference can increase your performance if you have several reports open while you are entering transactions.
      2. Click to select the Prompt me to modify report options before opening a report checkbox.
    5. Click Ok to save all the changes made in personal preferences.

For Automatic Updates, Go for the Following

  1. Select Help and choose Update QuickBooks.
  2. Select Options tab.
  3. Click No in the Automatic Updates section.
  4. Click Close and OK.
