Today we will discuss how to verify & rebuild data in QuickBooks System. The Verified Data self-recognize the most commonly known data issues within a company file on the other hand Rebuild Data self-help to fix most data integrity issues that the Verify Data finds.

Common reasons to use the Verify and Rebuild features:

  •  You will see fatal errors when you use QuickBooks Desktop.
  • You will find discrepancies on reports, such as invoices or bills that post with a negative-values.
  • You need to Deposit payments show up in the Payments Deposit window.

Balance sheet reports will never show all accounts.

  • You will find that names are missing from lists.
  • You can see transactions may also missing.
  • You can also run a well-data check up to make sure your company file is error free.

Verify data

  1. Click & choose Window then Close All.
  2. Click & select verify Data. Choose File then Utilities. Select & click Verify Data. If you see:
    • If you see “QuickBooks detected no problems with your data,” no further action is required now.
    • You can search a specific error message, there may already be an article for it. Try searching for it in our QuickBooks Desktop support site for specific instructions.
    • “Your data has lost integrity,” shows that there is data damage in the file.  You can continue to the steps below to Rebuild Data to resolve the issue.

Note: The Assisted Payroll customers may consult with an Assisted Payroll agent before running Rebuild Data Entry.

Rebuild data

  • Click & choose FileUtilities then click on Rebuild Data.
  • You will get a warning message that you should back-up your company file, then press OK. A rebuild requires a company file backup before-hand because in rare cases the process may need to delete transactions or list entries to fix the file. A backup of your company file will assure you that you have a secured copy of your company file before any changes are made to it.
    1. Click & select where you want to save your backup, then select& press OK at the bottom of the QuickBooks system Backup window.
      • If you will get any message like if you want to replace another backup file, then select NO. You need to enter a new name in the File name field and click Save.
      • In case, if the backup fails, click & select Cancel at the Rebuild prompt and contact Payroll Support for additional support.
    2. As soon as the backup will be finished, the Rebuild data entry will open.
    3. Click & press OK when you get the message “Rebuild has completed“.

Check for remaining data damage

      • You can run verify data again to check for remaining data damage. Click & select FileUtilities then click on Verify Data.
      • In case, if the Verify detects additional damage it means that the damage will need to be corrected manually. Now locate the error within the qbwin.log and search for a resolution at the QuickBooks Desktop Support site.
      • In case, if your error cannot be found, you can try to restore a recent backup. Then click & Choose File then Restore.* You should make sure that you do not overwrite your existing company file. Any information entered in the company file since the backup was created must be manually re-entered after you restore.
